More About Our Services & Fees

What is a travel package?

A travel package is when you are invoiced by a travel supplier, and it is paid in one total amount for all of the components of your tour, trip, or cruise.

Deposit and payment schedules are arranged and agreed to with the travel supplier. We are facilitating this and working to protect your investment.  Within packages are things like air tickets, car rentals, tours, experiences, and other travel related products and services.

 

Plan To Go Fee For Travel Packages

We will charge, at a minimum, a $250.00 fee for every client where some research and planning is involved. This fee is non-refundable.  If you have to cancel for any reason, the fee remains non-refundable for services rendered. 

With respect to travel suppliers and provides, their refunds and deposits are subject to their terms and conditions. As a courtesy,  $150 of our fee can be applied to future plans if the itinerary is the same. We always suggest travel insurance. When you purchase the insurance through us, we can handle any claims on your behalf freeing you from all of the hassles.

 

What does our fee cover?

  • Our fee covers things like providing you with a detailed itinerary that is tailored to you. We provide this in the form of an app for your phone and it can also be viewed on other devices and printed.
  • Our fee covers curated activities, restaurant suggestions and other things tailored to your needs. 
  • Our fee covers arranging, re-arranging, negotiating services, attempting to procure things like upgrades, research, logistical planning and more. Every trip and every client differs and so does the fee. We always tell you upfront what that fee would be.

 

What is Not Covered Under Standard Planning Fees

 

  • Unknown Destination or When You Will Go – If you are not sure where you are going, or when you are going, or both, there is an extra fee to cover extra research in addition to standard planning fees planning.  For example, You want to go to Europe but are not sure where. There are 50 countries in Europe. Looking for the “best deals” takes a great deal of time and the information provided is fluid. We suggest narrowing it down as being unsure will result in higher fees. There are simply too many variables to travel and it’s a big world when you don’t know where to go.

 

  • Air Research – we do not typically earn commissions on Air. If we do, it is so small of an amount that it is not worth mentioning.  This is an extremely time consuming process and prices change daily, weekly and sometimes even every few hours. Depending on the nature of your travels, this fee could range from $50 to $250 on average. If you do not know when you are going, and are just looking for best deals, this could be even more as it requires multiple checks and redo’s. There are too many variables when being creative for finding the “best deals.” 

 

  • Concierge activities like making restaurant reservations, spa reservations, etc. See Concierge Fees.

 

  • Our standard planning fees do not include non-commissionable services, activities accommodations. Our fee is low because we assume that all bookings will be commissionable to us. If you want us to look for accommodations like Airbnbs, or direct properties, we will charge a 10% booking fee of the room total before taxes and fees.

 

Free Services

— When you already know what your travel plans are and we are just handling your bookings and travel management, then we do not have a fee. In the event of cancellations, we will charge a $25.00 booking fee for each booking made to cover our time and services.

— If you are a frequent traveler and/or a business client, we may waive these fees at our discretion. 

— We offer all clients a free consultation. Generally, this is about 30 minutes, We will provide you with a quote for our services and once you agree to work with us, we will invoice you. Work commences when invoices are paid in full and you have from hello until your return home, safe and sound!

Groups are considered a group when trips involve more than 10 people, require more than 5 to 10 (dependent on supplier) rooms/cabins and they involve a lot of moving parts.   Fees for these types of events are on a case by case basis. We will submit a proposal to you prior to beginning any work. 

For example, if your event takes place at a resort or on a cruise (we receive a commission), we would likely have a very low planning fee or none at all. If your event takes place where there is no commission involved, we would then charge a fee for our services. 

So you know, whether we charge a fee or are paid a commission, this does not mean that you could do it for less on your own. Typically, involving a travel planner saves you money and time!

We don’t just make reservations, we also confirm them and handle any special requests with diligent follow-up. We are also your advocate if things go awry or you need to cancel. 

Generally, these services are free when you already know where you are staying and exactly what you are doing.

If you cancel your travel plans, we will charge a “Cancellation Fee” for each cancellation. This fee is $25.00 per occurrence.  This covers the time we spent working on your behalf. We are not paid at all if you do not travel, so that is why there is a fee.

Any waivers of fees are at our discretion. If you are a frequent traveler who enjoys the services we provide, we may at times waive some fees.

Travel planning and research is a very time consuming process. As part of our process we curate everything to exhaustion and ensure that you are getting the best value.

Depending on the nature of your travels, there are several factors that we consider, They include things like;

  • Duration
  • Number of destinations 
  • Services required
  • Are we doing the bookings?
  • Type of accommodations; Resort, Airbnb, or glamping. There could be any  number of types, it’s important to know whether or not they are commissionable. If not, we have booking fees.
  • Are you using points?
  • Number of travelers
  • Level of concierge services and frequency of usage
  • Leisure or business?

 

We have to know what you are looking for and what you want to better address the fees. Again, every trip and every client are different. Fortunately, we provide a proposal and you can choose whether or not you would like to use our services before you spend a dime.

Generally, if something is commissionable to us, then this reduces any fees we would have. As always, we advise you in advance of any fees you might incur.

To give you a better idea of what our services would cost, it would be safe to say that almost all of our existing clients utilize our custom travel planning services. The average trip is about 10 to 14 days. For a trip like this, if NOT using points, staying in hotels, and we manage all of the travel, our fee would be $250.00 to $350.00.

If adding restaurant reservations, spa reservations, or something like asking us to procure a chef, or photographer, we have Concierge Fees for that. This is $25.00 to $100 per occurrence, depending on the request.

Depending on the nature of your travels and the frequency, we may, at our discretion, waive some fees.

Most of our clients love to have us curate restaurants, Airbnb’s, special experiences, and other things that are outside of traditional travel products. We love doing this!  However,  it involves the same sort of time as our planning—sometimes even more time, and these things are almost always non-commissionable to us. So, in these cases we have fees to cover us.

If we are travel planning for you, we do curate a few  restaurants, plan free excursions like hiking and other outdoor activities. This is part of our normal services. If we make reservations, then this begins to fall under concierge services and we then have fees. 

We will advise you of our fee when we agree to work together. Generally, this is in the range of $25 to $150 per booking. 

Examples

  • Coordinating with Private Chefs for one meal is $50.00. Multiple meals, we will need to be discuss this first.
  • Arranging yachts, boats, private security, nanny’s and elevated services is on a case by case basis and we will discuss this with you.
  • Restaurant reservations; $25.00 (this includes making international calls).
  • Non-Commissionable tickets, excursions and events where research and coordination fall outside of normal travel planning.

 

For non-commissionable villa, vacation homes, or accommodations, etc., we have a 10% fee of the total reservation which is generally the standard commission we would have made if the booking outlet were paying commission. This fee covers the time and effort of researching, curating, negotiating, arranging, re-arranging, same as we would any other property! 

Yes, we have Convenience Fees.  Convenience fees are charged on each and every client invoice. This is a flat percentage of the overall invoice and covers our costs of doing business while making it convenient for you. This covers us for things like the costs of international phone calls, fees we are assessed, etc. Our planning and concierge fees cover our time. 

Convenience fees  vary by country. For US residents, this is currently at 3.75% as of 6/10/2023. If you are in a different country, the fee ranges from 4% to 6%.

If you would like to avoid convenience fees, you are most welcome to mail a check or make a wire transfer and we will include an itemized invoice for expenses incurred. Please  contact us for these instructions and additional information.

Travel Planning is an incredibly time consuming endeavor and one that we love doing! There is much that goes into this process and when you cancel an entire trip or even just one reservation, this can have a major impact on us. We are able to keep our planning fees low because we rarely have cancellations, but we do rely on the anticipated commissions that travel providers pay to offset the many hours of work we have already put in.

So, yes, we have Cancellation Fees. When you cancel an entire trip, the time and work we have put into your trip is impossible to unwind. With your cancellation comes additional work and a loss of earnings that we would have had. This is why our planning fees are non-refundable and non-transferable. We will apply 1/2 of your original planning fee to a future itinerary with the exact same plans. The cancellation fee covers additional time and efforts.

Currently, the cancellation fee is 10% of the cancelled segments. If it is an entire trip, that would be 10% of your trip total.

This fee covers all of the lost income and additional the work required to unwind the plans made. Again, for cancellations we do not have any ability to unwind the time spent on your behalf.

We do not charge cancellation fees for Excursions or Concierge bookings where a click of a button suffices. If the provider has fees, then these are subject to their conditions and their terms.

If you have purchased a travel package from a Tour Company, they may have their own policies regarding cancellations and this is beyond our control but, we will assist you in the process and inform you at time of booking of the policies and associated fees if you have to cancel.

We always suggest travel insurance and this can often cover all of your pre-paid travel expenses!
